7.1. Legible entries must always be recorded at the time of activity in a contemporaneous manner.The date (and time, if applicable) must be recorded according to the local facility format.Recording data on uncontrolled forms, scrap paper or sticky notes (e.g., Post-Its) is prohibited.7.2. No employee is permitted to use another employee's signature, initials or computer user ID.Violation of this will result in appropriate disciplinary action. This applies to permanent andtemporary employees as well as contractors and consultants. An employee may sign for anotheronly with a documented delegation of authority letter approved in the QMS or by otherwisedocumented and approved control methods (e.g., defined within a documented procedure orwork instruction).7.3. Controlled forms (paper and electronic, as applicable) must be provided that are approved in theQuality Management System for employees to record their work. These forms shall to bedesigned to include necessary information to guide the employee to do the work consistently andcorrectly. Forms shall be designed to prevent errors and ensure consistency as well as providingfor sufficient space for entries.7.4. Never pre-record or post-record data, dates and times. Do not fill in anticipated information(e.g., inspection times or other information on logs) before the time that the actual readings areentered. NOTE: The correct way to document an activity that occurred on a previous date is todocument the actual date the activity was performed along with a comment to explain that theinformation is being recorded at a later date. The comment must be initialed and dated usingthe current date that the comment is written.7.5. Enter units of measure for data entries involving time, temperature, pressure, length, width,diameter, weight, mass, etc.7.6. Record data using the correct number of characters.
